In countless medium-sized companies, Excel forms the backbone of critical business processes. From sales reporting to warehouse management to provisional production planning – “we have an Excel list for this” is the standard sentence in many meetings.

And that is initially understandable. Excel is flexible, almost every employee can use it, and it does not incur any (obvious) additional costs. For small businesses or ad hoc analysis, it is a fantastic tool.

But as companies grow, their data grows exponentially. What was once a clear table becomes an unmanageable network of linked workbooks, complex macros and manual workarounds. For medium-sized businesses that have to ensure their competitiveness through agility and precision, this “Excel chaos” is gradually becoming a serious business risk.

The creeping danger: The “Excel monster” in medium-sized businesses

Nobody plans to base their entire corporate management on a fragile construct of spreadsheets. It just happens. A department needs a quick solution, the IT is overloaded - so you build something yourself. This “shadow IT” often works surprisingly well for years until it suddenly stops working.

The problem with Excel in medium-sized businesses is rarely that it doesn't work, but rather that it works inefficiently and prone to errors.

Excel seems to be free because it is included in the Office package anyway. However, the real costs are hidden in the working time:

  • Highly qualified employees as “data copiers”: If your controllers or engineers spend 80% of their time manually merging and cleaning data from different sources (ERP, CRM, CSV files) in Excel and only 20% on the actual analysis, you are burning valuable resources.
  • Prone to errors: Studies consistently show that almost 90% of all complex spreadsheets contain errors - from simple typos to incorrect formula references, which can result in serious miscalculations.
  • Dependence on “head monopolies”: In almost every medium-sized company there is an “Excel guru” who is the only one who understands the complex macro monster that controls monthly invoicing. If this employee gets sick or quits, the process comes to a standstill.

5 warning signs: When Excel is no longer enough

How do you know that your company has reached the point where a professional data platform is necessary? Here are the five clearest warning signs:

1. The “single source of truth” does not exist

If the sales manager presents different sales figures in a meeting than the finance manager because they both maintain their own Excel reports, you have a problem. Excel encourages the creation of data silos. Each department maintains its own version of the truth. A data platform, on the other hand, creates a “single source of truth” – a central, reliable data source that everyone can access.

2. Performance problems and data volume

Excel has hard technical limits (e.g. around 1 million rows). But performance begins to suffer long before that. If it takes several minutes to open the “Annual Evaluation_Master.xlsx” and every new calculation paralyzes the computer, efficient work is no longer possible. Modern amounts of data – for example from IoT sensors on machines or log data from web shops – can explode any Excel table in seconds.

3. The “Final_V3_REALLY_FINAL.xlsx” hell

Version control in Excel is a nightmare. Files are sent back and forth via email, overwritten on network drives or saved locally. It is almost impossible to track who made which changes and when. This is not only inefficient, but also a real risk in the context of compliance and audits (e.g. for auditors).

4. Lack of data security and compliance (GDPR)

Excel files can be easily sent via email or copied to USB sticks. Sensitive customer data or critical business evaluations can easily leave the company. A professional data platform offers granular access rights: you can control exactly who can see what data and, more importantly, you can log who accessed it and when.

5. They want to use AI and advanced analytics

Medium-sized companies are talking about artificial intelligence, predictive maintenance or automated sales forecasts. These modern methods simply cannot be implemented with Excel. To use AI, you need a platform that can automatically process large amounts of data and train complex models (e.g. Databricks). Excel is a calculator, a data platform is the data center.


What exactly is a “modern data platform”?

For many medium-sized companies, the term “data platform” sounds like expensive, large-scale projects, months of implementation and corporate IT. That used to be the case, but it has changed fundamentally thanks to cloud technology.

A modern data platform (often based on concepts like the “data lakehouse”) is essentially the central nervous system of your company. It automatically carries out four tasks for which Excel is now used manually:

  1. Collection (Ingestion): It automatically collects data from all sources (your ERP system, your web shop, your machine controls). No more manual CSV exports.
  2. Store & Organize: All data is stored centrally in a secure location - cost-effective and infinitely scalable.
  3. Refining (Processing): The data is automatically cleaned, linked and calculated. The daily “VLOOKUP” massacre no longer applies.
  4. Serving: The clean data is automatically delivered to the tools your employees use - this can be a BI dashboard (like Power BI or Tableau), but also a (then clean and up-to-date) Excel spreadsheet for ad hoc analysis.

The ROI: Why the change is worthwhile for SMEs

Investing in a data platform is not just an IT expense, but a strategic investment in the scalability of the business model.

  • Automation of routine tasks: If you save 50 hours of working time per month in controlling because reporting works at the push of a button, the platform often pays for itself in the first year.
  • Better decisions through real-time data: Instead of waiting until the 15th of the following month for the monthly financial statements, managing directors can see on a daily basis where action is needed.
  • Future viability: You create the technical basis to be able to use new technologies (AI, IoT) in the first place. You remain connected to customers and suppliers who are increasingly demanding digital interfaces.

A pragmatic way out of the Excel trap

The change does not mean that no one will be able to use Excel from tomorrow. Excel will still have its place - for quick additional calculations or individual small lists.

But the core processes - the reports on the basis of which decisions worth millions are made, the control variables for production, the forecasts for purchasing - these must be placed on a professional foundation.

An evolutionary approach is recommended for medium-sized companies: Don’t start with a huge “big bang” project. Identify a specific process that is causing pain in Excel today (e.g. sales planning) and migrate it to a modern platform. Learn from it, demonstrate the company's successes, and then move on to the next process.

Conclusion: Excel has taken you far. But to reach the next level of growth and efficiency, you need tools that can keep up with your ambitions. A professional data platform is the foundation for the data-driven medium-sized businesses of tomorrow.
